  • Prepaids Dashboard Released: August 20, 2026 The new Prepaids Dashboard introduces the Prepaid Balance Log and Prepaid Redemption Log to transform how practices track unearned revenue commitments. This ensures accurate revenue recognition and clean accounting reconciliation by monitoring active outstanding customer balances and verifying exact service fulfillment, even when items are redeemed at a different location from where they were sold.

  • Prepaid Balance Log: Monitors active, outstanding customer balances and outstanding obligations. Track sold values, net payments, redeemed amounts, and remaining monetary balances alongside outstanding service package units.

  • Prepaid Redemption Log: Verifies exact service fulfillment by tracking when and where prepaids are consumed. This view makes it easy to reconcile redemptions against original sales invoices, even when services are redeemed at a different location from where they were sold.

  • Advanced Administrative Features: Streamline workflows with flexible date filtering to isolate liabilities over specific business cycles, CSV/Excel exporting for deeper analysis, and scheduled automated report deliveries to keep leadership updated effortlessly.

New & improved

  • Region Filtering on Insights Hub Dashboards Released: August 20, 2026 A new region filter has been added across your existing Insights Hub dashboards, including the Top KPI, Sales, and Enrollment & Retention dashboards. This filter allows you to select a region (such as Midwest) to instantly re-scope every card on the dashboard to that specific region, and remove it to return to the full view. It is active across every Insights Hub dashboard with the sole exception of the Consent Report.

    • Why it matters / the benefit: You can now evaluate regional performance trends instantly without having to inspect locations one by one.

  • Enterprise Health Dashboards Released: August 18, 2026 Three specialized dashboards for Sales, Customer, and Appointments are now available within PNE. These dashboards support standard interactive filters (such as date range, location, provider/employee, and customer) and provide a four-level drill-down path from Region to Location to Provider/Employee and ultimately to Customer.

    • Why it matters / the benefit: These dashboards deliver a rolled-up, region-filterable view across all your locations at once, letting you trace high-level business trends directly to the underlying raw data.

New & improved

  • Simple SOAP Amendments Released: August 13, 2026 Clinical staff can now update existing Simple SOAP notes in PatientNow Essentials through a secure, formalized amendment workflow that preserves the original note's creation date and original author while generating a trackable new version. This gives providers the flexibility to safely refine documentation as patient care evolves, utilizing a Version Indicator to toggle between historical records and visual amend icons to identify edited fields.

    • Who's affected: Clinical providers maintaining patient medical charts and practice administrators managing user access.

  • QuickPay in PatientNow Go Released: August 13, 2026 Front desk teams can process payments on mobile devices during rushes or off-site events without having to create a full checkout ticket beforehand. This speeds up transaction times by capturing payments instantly, automatically generating placeholder tickets for later reconciliation, and providing support for Tap to Pay on iPhone, built-in tipping, refunds, voids, and custom CSV exports.

    • Who's affected: Front desk staff, sales teams, and reconciling staff utilizing mobile checkout.

  • Revenue Protection (Policies Builder) Released: August 10, 2026 Practices can automate the enforcement of no-show, late-cancellation, and deposit policies using authoritative appointment data and built-in payment workflows. This secures earned revenue and eliminates staff judgment by letting administrators configure location-level policies or service-level overrides, check card-on-file eligibility, block duplicate charges, and automatically apply available deposit credits toward penalty balances.

Prerequisites & who's affected

  • Medical Documentation Permissions & Setup: Users must have the "amend simple SOAP notes" permission enabled under the Medical tab within their Security Profile, and an existing Simple SOAP note must already be created to amend.

  • Mobile Checkout Requirements: QuickPay must be enabled for the practice under Company Settings > Sales Register Options > General Options > Display. Staff must log into PatientNow Go under the correct organization and location, have a stable internet connection, and configure a supported payment method (Tap to Pay on iPhone or a Moby 5500 terminal). Reconciling staff must also have access to the QuickPay Ticket Management report in PatientNow Essentials.

  • Revenue Policy Configuration Requirements: Practices must utilize PatientNow Essentials with Embedded Payments enabled at their location, have credit card processing active on their merchant account, and ensure card-on-file workflows are supported. Practice administrators must have appropriate system permissions to configure these policies in the Policies Builder.

Revenue Protection: Automated No-Show, Cancellation, and Deposit Enforcement

Missed appointments can lead to lost revenue and inconsistent policy enforcement. Revenue Protection helps practices automatically apply no-show, late-cancellation, and deposit policies using appointment data, card-on-file verification, and built-in payment workflows.

  • Processes the fee through the standard ticket payment workflow

  • Records the final outcome for complete visibility and reporting

Clearer Policy Builder Guidance

Updated helper text in the Policies Builder provides clearer guidance that Revenue Protection policies apply only to future appointments.
