PatientNow Essentials x Health Gorilla Labs: Adding Users
Setting Up Health Gorilla User Accounts in PatientNow
Before your team can begin sending labs through the Health Gorilla integration, you’ll need to create Health Gorilla user accounts for each employee who will use the feature.
⚠️ Important: If you do not want an employee to access Health Gorilla or send lab requests, do not create a Health Gorilla account for them.
Both clinical and non-clinical user types are supported, but your practice must have at least one clinical user with a valid NPI to use Health Gorilla.
Creating Health Gorilla Users

Step 1: Navigate to the Employee Menu
In the top toolbar, go to Employee → Employee List.
Choose to either create a new employee or edit an existing employee.
Step 2: Edit the Employee Profile
Double-click the employee’s name to open their profile.
Select the Integration tab.
⚠️ If you see a message stating that a Health Gorilla tenant needs to be created, contact your Onboarding Representative before proceeding.
Step 3: Create the Health Gorilla Account
Click Create Health Gorilla Account.
Select whether the employee is a Clinical or Non-Clinical user.
Clinical vs. Non-Clinical Users

Clinical Users
Must have a valid NPI.
Function as the ordering physician when placing lab orders.
Non-Clinical Users
Do not require an NPI.
Can place orders and access Health Gorilla, but are not the ordering physician.
This structure allows your practice to delegate lab-related responsibilities appropriately while maintaining compliance.
Clinical User Setup

When setting up a clinical user:
The employee’s name, email, and NPI will auto-populate if already entered in the PatientNow profile. (Email addresses need to be unique, if you have a provider at multiple locations they can not use the same email address.)
📝 Note: Edits made here do not sync back to the PatientNow employee profile.
Create a username and password that meet the following requirements:
At least 12 characters
One uppercase and lowercase letter
One digit
One special character
💡 If you see an “invalid password” error, hover over the info icon to review the requirements.
Enter the employee’s NPI number.
Click Save. The user’s Health Gorilla username will appear, confirming that setup is complete.
Non-Clinical User Setup

The process for creating a non-clinical user is identical, except that an NPI number is not required.
Removing Users
If an employee leaves your practice, revoke their access in the Health Gorilla portal.
