How to process an exchange, return an item, or refund a service

Sometimes a client would like to return an item that didn't work for them as well as they thought, or maybe they want to exchange it for something else. Luckily, processing returns and exchanges are very similar to checking out a regular ticket.

How to Return an Item/Refund a Service

Access your Sales register and start a new sales ticket by selecting the client that is returning the product or requesting a service refund.

Select the correct product or service and add it to the ticket. Click to edit the line item by selecting the pencil icon.


When you get to the Edit Line Item Screen, make sure to select the employee who made the original sale and then select the Return Item button.

If this is a retail item being returned, choose whether to add the item back into your inventory for resale.

When this option is selected, the item or service will become a negative amount on the invoice listing:

If you are looking to do a partial refund, say your client was unhappy with the service rendered or the product purchased and won’t be returning the product, you will want to edit the line item again and adjust the Unit Price to the amount you are looking to refund the client and click Save.

Select Take Payment, choose your return tender, and click Cash Out to fulfill the refund.

Important Note: to refund to a credit/debit the card must be present. For card on file you must select "void" to refund.

How to Make an Exchange

To process an exchange you will follow the return process above but you will have some additional steps to complete before you Take Payment and Cash Out.


After you have returned the item, the item or service will become a negative amount on the invoice listing. Now you can select a new product or service for the exchange.

Then click on Take Payment to finalize the exchange/

If it’s an equal exchange you will click on Cash Out.

If the exchange amount is higher than the new total, the remainder can either be refunded to the customer by cashback, a credit card, their card on file, or placed as a credit on the client's account. Then click Cash Out.

When to Void a Ticket?If you are looking to refund the entire ticket you will want to Void the ticket instead of creating a new ticket. Voids will send a reversal attempt to the card used for the transaction, if the void is requested with in 24 hours after the transaction took place this will cancel the original transaction directly and no fees will apply. If the transaction is too old, when the system makes the reversal attempt it will fail and a void transaction will process instead, which will create a new transaction with a negative values with your payment processor and my incur fees.
