PatientNow Essentials x Health Gorilla Labs: Sending a Lab Order via PatientNow
Overview
This article explains how to send a lab order through PatientNow using the Health Gorilla integration. It covers accessing the treatment record, selecting labs, ordering tests, and completing the submission process.
Accessing the Treatment Record

From the Schedule, right-click the client’s appointment.
Select Treatment Information.
This opens the client’s Treatment Record.
From the toolbar, click Labs.

ℹ️Note if you are looking to hide the Labs tab in the Treatment Record you will update that in the Company Settings > General Options > Treatment > Check on the Hide Labs box and save settings.

Viewing and Managing Lab Results

The Labs tab displays all existing lab results.
Results are organized by date within collapsible folders.
To create a new order, select Place Order to open Health Gorilla.
Note: The client you accessed through Labs will automatically populate in the order form.
Reviewing and Editing Client Information

On the initial Health Gorilla screen, you can:
Click Back to Treatment Record to return to the previous screen.
Select Cancel under the client’s name to stop the process.
If you need to update client information:

Click the Client’s Name to open their demographics.

The information displayed is pulled from PatientNow Essentials.
You can edit or add demographic and insurance information as needed.
These changes do not sync back to PatientNow.
To make permanent updates, edit the client’s record directly in PatientNow.
When finished, click Save.
Selecting a Vendor
Before proceeding, you must select a vendor.
Commonly used vendors appear by default for quick selection.
Integrated labs (e.g., LabCorp, Quest) display an All Locations option, allowing the client to visit any location.
To search for a vendor:

Enter the Vendor Name.
Choose a Distance setting — either from the office, patient’s address or a ZIP code.
If selecting ZIP, enter the zip code in the provided field.
Click Search to display matching vendors.
Once selected, the vendor will appear below the client’s name. Click Continue to move forward.

Selecting Tests for the Order

Available Options
Most Used: Displays your most frequently ordered tests for that lab vendor.
Quick Orders: Prebuilt lab order sets that can be configured for fast ordering.
Quick Orders are lab-specific. For example, LabCorp and Quest will each have their own sets.
Adding Tests
Browse through the Available Tests list and click any test to add it to the order.
The selected tests will appear below the client’s name.
You can also search by Description or Test Number (examples: 000810 or 183111).
A maximum of 35 tests can be added per order.
Configuring Each Test
Each test is expandable, allowing you to:
Set Priority.
Add Notes.
Complete any Ask on Entry questions marked in red as “Select Options.” These must be answered before proceeding.
Additional Order Information
Below your list of tests, you can:
Add any Medications the client is taking.
Enter Family History.
Include Order Notes or a Visit ID.
You can Remove a test by clicking on the X next to the text name. When finished, click Continue.

Completing the Order

Diagnoses
Add a Diagnosis if applicable.
Search by code or description.
Diagnosis codes do not pull from PatientNow.
Check the box to add the diagnosis to the order.
ℹ️Note: Once the diagnosis is added to the client it will be saved for the next time an order is placed.
Ordering Physician
Ordering Physicians are anyone who is a clinical user
If only one physician is listed in your database, that physician will populate automatically.
To change the physician, click the X and select another name from the dropdown.
Specimen Details

If the specimen has already been collected:
Check the Specimen Collected box.
Enter the Date and Time of collection.
The Schedule as Future Order option will be removed, and a specimen label will print automatically.

Billing

Use the dropdown menu to select who should be billed:
Bill to Client (your account)
Bill to Patient
Bill to Guarantor
Bill to Third Party (available only if the client has insurance listed)
Quick Order Option

To save the order setup as a Quick Order:
Check Save as Quick Order.
Enter a name for the order.
Quick Orders are vendor-specific and will only be available under the lab vendor used when saving the order.
Adding Attachments

You can also access the client’s record from the right side of the screen if adjustments are needed.
To include attachments:
Click Attachment.
A window will open allowing you to attach previous results, tests, or upload new files.
Select Add to include them in the order.
Submitting the Order

Final Review and Options
When you’re ready to finalize, click Continue to access the Submit screen.
You’ll see several options on the right:
Print Requisition Form: Selected by default.
Print Nearby Locations: Optional.
Fax Requisition: Allows you to specify a destination and fax number.
ℹ️Note: The fax requisition will not be fulfilled by PatientNow, this is a request that will go to the selected vendor for them to fax
Skip Electronic Submission: Choose this if you plan to fax or print the requisition manually.
Submission
Select E-Sign and Submit (if a signature is required) or Submit to complete the order without signing.
A confirmation message will appear once the order has been successfully submitted.
The system will then return you to the Treatment Record.

Receiving Results
Once results are finalized, they will automatically be sent back into PatientNow.
You can view them under the Labs tab in the client’s record.
