Understanding your PatientNow Essentials / EnvisionNow Export

PatientNow offers three tiers of CSV exports from PatientNow Essentials / EnvisionNow that can be utilized to support your practice needing further data analysis. To determine the correct tier and pricing of these one-time exports, you can email customersuccess@patientnow.com for details. Below is further information and detail on the export files to help you understand how you can utilize them.

Export Format

Here's a brief explanation of what is provided:

  • CSV Format: This means structured data is delivered in Comma-Separated Values (.csv) files. These are easily imported into tools like Excel, Python (Pandas), R, or SQL databases for analysis or processing.

PatientNow does not provide exported files in CCDA format or via API key/integration.

Obtaining Export Files

PatientNow will provide you with a SFTP username, host, and an attached key file. You are responsible for accessing the data from the provided SFTP location and moving the data to a secure environment. Exporting to Google Drive is possible, but we recommend consulting with your IT department regarding proper secure storage options that meet compliance requirements.

To easily access the SFTP location, we suggest using a service like FileZilla. Once downloaded:

  1. Open the FileZilla application, select File > Site Manager

  2. Click the Protocol dropdown and select SFTP - SSH File Transfer Protocol

  3. Click the Logon Type dropdown and select Key File

  4. Enter the provided Host and User fields

  5. Select Browse next to Key File to upload the provided key file

  6. Select Connect

You will see the provided files in the lower right-hand pane. To download the files, on the left side under Local Site navigate to the folder you wish to download the files into. Then on the right side, select all of the files you wish to download and right click to select Download.

The files in this SFTP will be available for you to download for 120 days.

Navigating the Files

The CustomerID field is included to allow easy navigation and linking of records across the multiple files. The CustomerID field in particular is a primary key that is accessible in other exports to allow for matching/linking data to the client/patient data in the Customer file.
