Using the Dashboard
Dashboard Controls and Navigation
At the top of the Accounting Dashboard, you’ll find global controls that apply to the entire report.
Use the Filter (funnel) icon to filter the dashboard by:
Location
Date range
Select the up arrow icon to export the full dashboard as a PowerPoint or PDF, making it easy to share financial insights with owners, managers, or accounting teams.
Review the last updated date and time to confirm when the dashboard was most recently refreshed. Accounting dashboards update automatically every few hours.
Widget-Level Filtering, Exporting, and Drill-Down
Each widget includes its own interaction options:
Expand arrow to open the widget view
Funnel icon for widget-level filtering
Table icon to display data in table format
Ellipsis menu for export options
Individual widgets can be exported as CSV, Print, PowerPoint, or Excel. You can also click directly on metrics within widgets to drill down by location or employee, helping trace financial activity back to its source.
Year-Over-Year Comparisons
Some widgets display a percentage with an upward or downward arrow. These indicators represent year-over-year comparisons that dynamically adjust based on the selected date range. For example, filtering to the current month compares results to the same month last year.

Section-Specific Metric Overview
Key Financial Summary Metrics
Total Payments Made shows the sum of all payments collected, excluding gift cards.
It’s important to note that not all payments are tied to an employee, which may cause employee-level drill-down totals to appear inconsistent with the overall Total Payments number.
Unpaid Balance allows you to see outstanding balances owed to the practice. Clicking into this widget lets you drill down by customer, making it easy to identify and follow up on balance dues.
Invoices Processed reflects the total number of invoices created in the system, including any invoice that was created and not deleted.
Services Rendered counts all services that have been redeemed by clients. For prepaid services, this means the service must have been used to be included in this total.
Total Overhead Cost represents the sum of all overhead costs associated with sales, helping you better understand true revenue impact.

Full Register Summary
The Register Summary provides an invoice-level view of financial activity across your practice. This section is designed to support daily reconciliation, payment verification, and high-level accounting review by showing how invoices were paid and totaled.
Each row in the Register Summary represents a single invoice and includes the following details:
Date – The date the invoice was processed
Location – The location where the invoice was created
Invoice Number – The invoice identifier
Transaction ID – Unique transaction reference
Sales Representative – The employee associated with the invoice
Subtotal – Total invoice amount before tax, tips, and payments
Service Amount – Total service charges on the invoice
Credit Card Amount – Amount paid using credit card
Tax – Tax applied to the invoice
Tip – Tip amount collected, if applicable
Cash Amount – Amount paid using cash
Total Payments Amount – Total payment amount collected for the invoice
A Grand Total row appears at the bottom of the table, summarizing total payments across all invoices included in the selected date range.

Viewing the Full Register Summary
You can click on any line item in the Register Summary to open the Full Register Summary view. This expanded view displays the complete register details for the selected invoice and allows you to:
Review all associated payment and invoice information
Print the register summary
Export the register summary for recordkeeping or accounting purposes
This makes the Register Summary especially useful for:
End-of-day or end-of-period reconciliation
Verifying invoice totals and payment methods
Supporting audits and financial reviews
Sharing invoice-level financial records with accounting teams
Standard widget controls can also be used to filter, export, or view this data in table format directly from the dashboard.

Item Level Transaction Detail
The Item Level Transaction Detail section provides a detailed, line-item view of financial activity across invoices. This table is especially useful for reconciliation, audits, and understanding exactly how revenue and costs are generated at the individual item level.
Each row represents a single item sold and includes the following information:
Date – The date the transaction occurred
Location – The location where the transaction took place
Invoice Number – The associated invoice number
Transaction ID – A unique identifier for the transaction
Item – The specific service, product, package, or gift card sold
Provider – The employee or provider associated with the item
Overhead Cost – Any overhead cost applied to the item
Subtotal – Item price before discounts and tax
Discount – Any discount applied at the item level
Tax – Tax applied to the item
Total – Final item total after discounts and tax
This table allows you to trace high-level accounting metrics—such as payments, revenue, and overhead—back to the exact invoices and individual items that generated them. Standard widget controls can be used to filter, export, or view this data in table format for deeper financial analysis.

Payment Trends
The Total Payments Over Time widget displays payment activity along a timeline, allowing you to see how payments are distributed across the selected period and identify trends in cash flow.
[IMAGE — needs manual upload: rtaImage] (original: <img src="https://patientnow.file.force.com/servlet/rtaImage?eid=ka0Rd0000005YST&feoid=00N3s00000QF9k7&refid=0EMRd00000LOibh">)
Gift Card Performance
The Gift Card section provides insight into both sold and outstanding gift card value.
You can see:
Number of gift cards sold
Total value of gift cards sold
Remaining gift card balance
These widgets reflect the selected timeframe. It’s important to understand that the remaining gift card balance is calculated based on all gift cards sold historically.
If the remaining balance is higher than the value sold in the selected timeframe, this indicates that gift cards sold outside of the current date range still have unused balances.
The Gift Card Redemption Rate shows how much unused gift card value remains compared to the total value of all gift cards sold—helping you understand outstanding liability and redemption behavior.
[IMAGE — needs manual upload: rtaImage] (original: <img src="https://patientnow.file.force.com/servlet/rtaImage?eid=ka0Rd0000005YST&feoid=00N3s00000QF9k7&refid=0EMRd00000LOidJ">)
Package Performance
Next to gift cards, you’ll see a similar set of widgets for packages.
You can view:
Number of packages sold
Value of packages sold
Remaining package value
Prepaid package redemption rate
These calculations use pre-configured packages only. Packages created on the fly are not included.
Remaining package value is calculated based on the value of unredeemed services within each package.
[IMAGE — needs manual upload: rtaImage] (original: <img src="https://patientnow.file.force.com/servlet/rtaImage?eid=ka0Rd0000005YST&feoid=00N3s00000QF9k7&refid=0EMRd00000LOiev">)
Payments & Revenue Breakdown
The Payments by Payment Type widget shows how customers are paying.
You can:
Click a payment type bubble to remove it from the chart
Click a payment type to drill down by location and see where that payment method is being used
The Total Revenue by Revenue Category widget functions the same way. Revenue categories are based on inventory class.
If an item does not have an inventory class assigned, it will appear as NA in this report.
