Prerequisites and eligibility
The embedded Communications Hub platform is standard for all PatientNow and Recura customers at no additional cost. The premium subscription only applies if your practice upgrades to the Recura Link VoIP phone system, which adds active web calling, EMR call pops, extension call routing, and a dedicated mobile application.
To access the Communications Hub, your practice must be actively running PatientNow Essentials.
How to access and log in
Because PatientNow Essentials is a browser-based web application, the Communication Hub loads natively as a secure iframe inside your web app workspace. No software installation is required:
Open PatientNow Essentials in your web browser.
Select the floating Recura panel tab located on the right side of your screen.
The persistent Communication Hub will slide open smoothly alongside your calendar or patient dashboard.
Enter your Recura credentials to log in and begin.
Key features and workflows
Navigating the unified inbox
The Communication Hub organizes your patient outreach into two primary web-based workspaces:
Location-level inbox: Select this view to review all active conversations and notifications across your practice location.
Patient-level inbox: Select any patient from your EMR appointment schedule or calendar. The platform automatically detects your selection and instantly loads that patient's complete communication history, including past text conversations, call records with playable audio and transcripts, and ongoing AI agent interactions.
Accessing deep patient context: The moment you select a patient on your calendar, the Communications Hub immediately displays a detailed patient profile card in the sidebar. This panel keeps key operational and billing data visible during your conversation, including:
Basic details: Patient name and primary phone number.
Billing insights: Active membership tier and status, along with lifetime practice spend to help you quickly identify and care for VIP patients.
Appointment history: A clean timeline filterable by Upcoming, Past, and Cancelled appointments.
Understanding sender attribution badges
To help your team coordinate efforts and prevent duplicate outreach, every message in the unified thread carries a clear origin marker so you know who is communicating at a glance:
Recura AI (green badge): Indicates an interaction handled autonomously by your active AI receptionist or AI sales agent.
PatientNow System (gray badge): Marks automated EMR-generated messages, such as appointment reminders, confirmations, and automated marketing campaigns. This badge is styled in a quiet, muted gray so you can easily skim past automated traffic and focus on direct patient messages.
Recura Staff: Identifies manual messages sent by a colleague using the standalone Recura dashboard (attributed by staff name).
PatientNow Staff: Identifies messages sent by a teammate using PatientNow's native internal messaging panel (attributed by user name).
Thread bubble and sync color cues
In addition to attribution badges, the widget uses specific visual cues to help you track conversation channels and lead pipeline statuses:
Message bubble colors: To distinguish between systems inside a chat thread, conversational messages processed through Recura appear in blue bubbles, while native text messages sent directly from the PatientNow EMR appear in green bubbles.
Lead sync indicators: In the contact details section, a green indicator (or active Sync button) alerts you that the contact is currently an unsynced lead. Selecting this button pushes the lead's data directly into PatientNow. Once the contact is successfully merged, the status indicator turns gray.
Placing and managing calls (Recura VoIP Add-on)
If your practice uses the Recura VoIP system, you can handle all telephone outreach directly inside your Essentials web app:
Open the Communication Hub and select the Dial tab.
Use the on-screen keypad to enter a number, or select a patient to automatically populate their phone number.
Select Call to place the call.
To route inbound calls, select the drop-down menu under Extensions to specify which physical phones or extension lines ring.
Under Call From, select your preferred outbound caller ID from your practice's active business numbers.
Review call history and select any call entry to listen to recordings or read AI-generated transcripts.
What to expect if your practice does not use VoIP: If your clinic does not subscribe to the premium Recura VoIP add-on, selecting the Dial tab will display standard administrative prompts:
"No outbound caller IDs available. Ask an admin to provision a phone number."
"No extensions available. Ask an admin to grant you access."
These are standard placeholders and do not indicate a system issue. Even without the VoIP upgrade, you will still see all real-time call and text activity, and you retain full use of the two-way SMS messaging feature between PatientNow and Recura. Sending messages, MMS, and emojis
MMS number requirement: While the widget allows you to toggle your outbound sender ID, images and MMS attachments can only be sent from your Recura number. If you need to share a before-and-after photo or visual treatment guidelines, ensure you select your Recura number from the outbound dropdown before sending. Native PatientNow numbers do not support outbound MMS in this version.
Smart outbound defaults: You do not have to manually reselect your preferred sending number for every single message. The widget intelligently defaults to the last-used outbound number for that specific patient thread, helping you maintain a consistent and fluid conversation.
The Communication Hub introduces rich media capabilities directly to your PatientNow Essentials messaging workflow:
Select a patient and open the Respond tab.
In the text area, compose your message.
Select the emoji icon to insert emojis, helping you maintain a warm, personal tone with patients. (Your Recura number is required for this feature)
To attach an image—such as a before-and-after photo, treatment guidelines, or product visual—select the attachment icon and choose your file. (Your Recura number is required for this feature)
Select the Send From drop-down menu to choose between your Recura number or your core PatientNow number, keeping your outgoing numbers consistent for patients.
Select Send.
Syncing leads and appointments
Managing and syncing webhook leads:
You can still see and call webhook leads inside the widget even before they are officially synchronized with PatientNow Pro. To manage unsynced leads:
To sync an individual lead: Filter your customer directory by lead source, select the desired lead, and select the Sync with PatientNow button.
To sync in bulk: Note that there is currently no bulk patient sync button inside the widget. If you have a large volume of webhook leads in Recura, you can view them in bulk within the Recura dashboard, export the list, and then sync them into PatientNow as a batch.
The Communications Hub bridges the gap between your marketing pipeline and clinical records:
Push a lead manually: When reviewing a lead in the Communication Hub, look for the sync status indicator. A green indicator means the lead is not yet in your EMR; select the Sync with PatientNow button to push their details instantly into your database. The button will turn gray once the sync is complete.
Automatic appointment sync: When appointments are booked, rescheduled, or cancelled through Recura or your AI agents, those updates automatically synchronize with your PatientNow calendar, maintaining a single source of truth.
AI appointment write-back: If a patient confirms their appointment with your AI receptionist, the AI automatically writes the confirmation directly back to PatientNow via a secure webhook, updating the status on your calendar.
Smart inbox controls
To manage busy daily workflows, utilize these built-in inbox filters and collaboration tools:
Awaiting Reply filter: Select the Filters menu and choose Awaiting Reply. This isolates only the threads where the last message was a patient response, ensuring no patient is left waiting.
Real-time typing indicators: When a colleague begins typing a response to a patient, a typing indicator appears in the thread, preventing multiple staff members from sending duplicate or conflicting responses.
Send Texts From PatientNow: Send texts using the PatientNow number in the Communications Hub.
Teammate assignment and typing indicators: While conversation and text thread assignment must be set up within your standalone Recura dashboard, the embedded widget keeps your team synchronized in real time:
Assignment visibility: You can easily see which teammate a conversation is assigned to directly inside the widget thread.
Claimed text indicators: When a colleague begins typing a response, a real-time typing bubble appears in the thread, signaling to the rest of the front desk that the interaction has been "claimed" and is actively being handled.
Troubleshooting and known issues
Historical message backfill noise
Issue: Upon initial setup, the inbox is overwhelmed with old automated notifications displaying as new or unread.
Resolution: This is normal during the initial message import. Select the Filters menu and turn on the Awaiting Reply filter. This instantly hides historical automated traffic and isolates active patient inquiries requiring a response.
Browser rendering and loading - Communication Hub fails to load
Issue: The Communications Hub appears blank or does not slide open when selected.
Resolution: Because PatientNow Essentials runs entirely in your web browser, ensure your browser is updated to the latest version and that no ad-blockers or strict script-blocking extensions are preventing the Recura iframe from loading. Clearing your browser cache can also resolve initial loading friction.
Thread reopening on patient reply
Issue: Staff members notice that patient replies do not reappear in their active inbox.
Resolution: This behavior was resolved in the latest update. When a patient replies to your PatientNow number, the system automatically reopens the conversation thread in the Communications Hub inbox.
Frequently asked questions (FAQs)
Can I assign conversation threads to specific staff members inside the widget?
No. Conversation and message assignment is not supported within the embedded widget in this version.
Can I turn off or unassign the AI receptionist directly from PatientNow Essentials?
No. If you need to stop, unassign, or adjust the settings of an active AI agent, you will need to open a separate browser tab, log directly into your standalone Recura dashboard, and manage the AI settings there.
Will this disrupt our existing automated messages?
No. Enabling the Communications Hub will not affect your practice's existing automated communications. All legacy PatientNow automated workflows—including appointment reminders, confirmations, marketing emails/SMS, treatment pathways, and Text-to-Pay—remain fully active and will continue to send from your primary PatientNow phone number as-is. SMS phone number consolidation is planned for a future platform version.
Best practice recommendation for a smooth transition:
While legacy PatientNow SMS dialogs and task lists remain active during this release to prevent workflow disruption, we strongly recommend that practices shift all manual outreach to the new widget immediately. For the best clinical and marketing alignment, use the Communications Hub widget as your primary workspace for all manual text sending and active inbox monitoring. This ensures your team builds a single, unfragmented timeline of patient interactions.
Can we consolidate all of our text messaging onto a single phone number?
SMS number consolidation is scheduled for a future release (V3). In the interim, you can select which outbound number to use directly from the drop-down menu inside the widget to keep your outreach consistent.
Is there a mobile version of the Communications Hub?
A mobile or native application version of the Communication Hub is not available in this initial release. Access to the Communication Hub is currently optimized for your desktop browser EMR workspace.
Does the Communication Hub support multi-location views inside Essentials?
PatientNow Essentials operates on a single-location basis, so the Communication Hub is dedicated to your active location. There is no need for manual mapping or location switching; your communications and calendar sync are perfectly aligned to your clinic's primary location.
